Willow Camp Internal Regulations

1. General Provisions

• This regulation establishes the rules for the use of the camping area, in order to ensure an environment of order, safety, and mutual respect, in accordance with the applicable legal provisions.
• The purpose of this regulation is to define the conditions of stay for visitors within Willow Camp. Access to and stay in the camping area imply the acceptance and compliance with these regulations by all guests.
• Camping at Willow Camp is carried out by reserving a camping spot through the website (www.willowcamp.ro), via email (office@willowcamping.com), by phone (0756088050), or directly on-site, by presenting a valid ID for registration in the guest register, after which a camping spot will be assigned.
• The camping area is monitored by video surveillance in legally permitted areas.
• Willow Camp assumes no responsibility for the loss or disappearance of personal belongings within the camping area.
• Willow Camp is not responsible for natural disasters or for any external works that may lead to inconvenience (such as water or electricity supply interruptions).
• We assume no responsibility for any injuries that may occur within the camping area.
• The campsite management reserves the right to refuse access or to request the immediate departure of any persons who do not comply with these regulations or display inappropriate behavior, without refund of any amounts paid.

2. Reservation and Cancellation Policy

• Reservations can be made by phone, via email, through the campsite online platform, or directly on-site.
• A reservation becomes valid only after written confirmation (email/message) from the management.
• Upon arrival, guests must present their reservation confirmation (if the reservation was made online or via phone) and a valid ID.
• Guests under the age of 16 may stay at the campsite only under the supervision of a parent or legal guardian.
• Any changes (arrival date, length of stay, number of persons, or change of camping spot) are subject to availability.
• Any cancellation must be submitted in writing (email/message).

3. Access, Check-in and Payments

• Access to the campsite is permitted after registration at reception and payment of the applicable fees. Guests who make reservations online or by phone will receive, upon confirmation, an access code for the barrier, valid for the duration of their stay, allowing entry at any time.
• At check-in, all guests must be registered. Adults are required to present a valid ID. Minors may be registered based on the documents of their parents/legal guardians; however, the campsite reserves the right to request an identity document for them if necessary. Unaccompanied minors must present their own identification documents and written consent from their parents/legal guardians.
• Documents required at check-in:
  • Identity card / passport - for each adult;
  • Reservation confirmation (if the reservation was made online or via phone);
  • Vehicle and/or caravan registration number;
  • For organized groups - a nominal list of participants, signed by all the members of the group;
  • For minors, the campsite may request a birth certificate, ID card, or passport;
  • Unaccompanied guests over the age of 16 must present an ID and written consent from their parents/legal guardians.
• Allocation of camping spots is subject to availability and according to staff instructions.
• Check-in: after 12:00
• Check-out: until 11:00 (after 11:00, an additional day will be charged)
• Payments are made according to the price list available on www.willowcamp.ro, in cash or by card, in RON, EUR, or HUF.

4. General Camping Rules

• The campsite is open year-round, with limited facilities during the winter season.
• The maximum speed within the campsite is 5 km/h.
• Vehicle access is permitted exclusively for entering and exiting the campsite, as well as for maneuvers required to position caravans/trailers at the assigned camping spot; driving within the campsite for other purposes is not allowed.
• Camping pitches for vehicles are numbered. Guests are required to park their camping vehicles within their assigned pitch. Please contact the staff if you wish to change your camping spot.
• The tent area is not divided into pitches; tents must be set up in available spaces, in accordance with staff instructions.
• Any change of the assigned camping spot or camping equipment (except for awnings or umbrellas) is strictly prohibited. This rule is intended to ensure the proper operation of the campsite, the safety of guests, and a well-maintained appearance.
• If the number of persons included in the reservation changes, please inform reception and ensure the modification is properly recorded.
• Food may only be prepared in designated areas using the facilities provided.
• Any damage or destruction of property will be subject to appropriate charges.

5. General Rules

• Guests must observe quiet hours between 22:00 and 07:00.
• Guests are also encouraged to observe quiet hours between 13:00 and 15:00.
• On Thursdays and/or Fridays, between 09:00 and 12:00, the management may carry out maintenance activities (e.g., lawn mowing), which may generate noise. By accepting these regulations, guests acknowledge and agree to these activities.
• The use of audio devices at a high volume, which may disturb other guests or nearby residents, is not permitted in public areas (kitchen, sanitary facilities, spa area, grill area, etc.).
• Listening to music is permitted only at the camping spot, at a moderate volume, until 22:00.
• Violent behavior, offensive language, and any disturbance of public order and peace are strictly prohibited.
• For the safety and comfort of all guests, we reserve the right to request any person to leave the campsite and to take appropriate measures to enforce this rule.

6. Hygiene and Environmental Protection

• Each person is responsible for maintaining cleanliness in their occupied space.
• Sanitary facilities, the shared kitchen, spa area, grill area, and all other campsite areas must be used with care and kept clean.
• Connection to electricity and potable water is permitted only in designated areas.
• Generators may be used only during specific time intervals - between 08:00-10:00 in the morning and 18:00-20:00 in the evening - and only in silent mode, so as not to disturb other guests.
• Waste must be disposed of only in designated containers. The campsite operates a selective waste collection system, with separate containers for paper, plastic, glass, and organic waste. Guests are kindly asked to keep the campsite clean and dispose of food waste exclusively in the covered containers provided for this purpose.
• Wastewater, whether grey, blue, or black, may be discharged only at designated disposal stations, in order to protect the environment.
• Damaging or destroying vegetation, outdoor furniture, or other campsite property is strictly prohibited.
• Open fires are permitted only in specially designated areas (grill area and campfire area).
• Smoking is permitted only in designated and marked areas.
• Discarding cigarette butts is prohibited except in designated places (ashtrays, bins), and only after they have been properly extinguished.
• Cutting trees and/or any other wooden material within the campsite is strictly prohibited.
• Washing vehicles within the campsite is not permitted.

7. Safety

• Children must not be left unattended.
• Access to the campsite with weapons, hazardous substances, explosive or toxic materials is strictly prohibited.
• Jumping into and swimming in the lakes are prohibited.
• All facilities are used at guests own risk and in accordance with the campsite rules. Failure to comply may result in consequences, including removal from the campsite.
• In certain areas, the campsite perimeter is equipped with an electric fence system, in accordance with applicable legal regulations.
• Touching the electric fence is strictly prohibited. The management assumes no responsibility for incidents resulting from failure to comply with this rule.

8. Pets Policy

• Only small and medium-sized dogs are allowed, with a maximum weight of 20 kg.
• Pets must not be aggressive or disruptive.
• Pets must not be left unattended and must be kept on a short leash and wear a muzzle.
• Owners are responsible for cleaning up after their pets.
• Aggressive animals (as defined by the official canine authorities) are strictly prohibited.
• Pets are not allowed in public areas such as sanitary facilities, the kitchen, spa area, grill area, etc.
• A valid Vaccination and Health Certificate for pets is required, along with a copy, which must be presented upon request of the management.

9. Liability

• The campsite management is not responsible for the loss or damage of personal belongings. Guests are advised to keep valuables in a secure, lockable place at all times.
• Any damage caused by guests must be borne by them.
• Any accident resulting from improper use of facilities, lack of supervision of children, or failure to comply with these regulations is not the responsibility of Willow Camp.
• In the event of an incident or accident, please report it immediately to reception, where a first aid kit is also available.

10. Final Provisions

• Failure to comply with these regulations may result in a warning and, in serious cases, eviction from the campsite without refund of any fees paid.
• The campsite management assumes no responsibility for accidents, losses, theft, property damage, or any other incidents occurring during your stay.
• The campsite management reserves the right to amend these regulations as necessary; the regulations are also available on our website (www.willowcamp.ro), where any updates will be published.
