1. Right to Cancel
Any confirmed Willow Camp booking may be cancelled by the customer. Refunds are processed according to the conditions below, based on how far in advance of the arrival date the cancellation request is received.
2. Refund Conditions

The retained 30% deposit covers organisational, pitch-reservation and administrative costs that cannot be recovered for last-minute cancellations.
3. Cancellation Process
To cancel a booking, please follow these steps:
- Send an e-mail to office@willowcamping.com
- Include your booking reference number and the name on the booking
- State your arrival date and, optionally, the reason for cancellation
The cancellation date is taken as the date the e-mail is received by the Willow Camp team. You will receive written confirmation of the cancellation within 24 hours.
4. Refund Processing
Eligible refunds are processed within 5–10 business days of cancellation confirmation, via the same payment method used at booking (bank card through Netopia Payments). The actual timeframe may vary depending on your card issuer.
5. Cancellation by the Operator
In exceptional circumstances where Willow Camp must cancel a confirmed booking (force majeure, extreme weather, unforeseen works, etc.), the customer will be notified immediately by e-mail and will receive a full refund of the amount paid, processed within 5 business days.
6. Removal for Breach of Rules
Under the Willow Camp internal regulations, management reserves the right to require guests who breach site rules or behave inappropriately to leave immediately. In such cases, no refund will be issued.
